Who we are
VetLum provides practice software for veterinary clinics in the United Arab Emirates. This notice explains what data VetLum handles, where it is kept and who helps us run the service.
Two kinds of data
- Clinic records. When a clinic uses VetLum, the clinic decides what it records about its clients, pets and staff. The clinic is responsible for that data, and we process it on the clinic's behalf to provide the service.
- Data you send us directly. For example, when you book a demo or email us. For this data, we are responsible.
What clinics store in VetLum
- Client details such as names, phone numbers, email and postal addresses, and communication preferences.
- Pet details and medical records: visits, notes, vitals, diagnoses, prescriptions, vaccinations, lab results, documents and photos.
- Appointments, invoices, payments recorded by the clinic, estimates and stock records.
- Staff accounts, roles and an audit log of sensitive actions.
This website
This website does not use cookies, analytics or advertising trackers. If you book a demo, we receive the name, clinic name, email, mobile number, emirate, number of vets and message you enter, and the language of the page. To limit spam we keep a one-way hash of your IP address with the request, not the address itself. Our servers may briefly record technical request details, such as IP addresses, to keep the service secure.
We use demo request details only to contact you about VetLum. Ask us at any time to delete them.
Where data is kept
VetLum is hosted with a reputable cloud infrastructure provider. Each clinic's data is kept separate from every other clinic's. The database is backed up every night, and backups are stored separately from the live servers. All pages are served over encrypted connections (HTTPS).
Who helps us run VetLum
- Our cloud infrastructure provider: servers, storage and separately stored backups.
- Resend: sends VetLum's own service emails, such as sign-in, invitation and notification emails to clinic staff.
- The AI provider configured for drafts: when a vet asks for an AI draft, the minimum text needed is sent to the provider, which is configured not to train on your data. Client names and contact details are not sent. A clinic owner can switch AI off.
Messages a clinic sends to its own clients go through the clinic's own channels: its own email account and, if connected, its own WhatsApp Business number with Meta. Those services work under the clinic's own agreements with them.
How long we keep data
Clinic records are kept while the clinic uses VetLum and handled as agreed with the clinic when it leaves. A clinic owner can download a full export of the clinic's data at any time. Demo requests are kept only as long as needed to follow up.
Your choices
If you are a client of a clinic that uses VetLum, please contact the clinic first: it controls your records. For anything else, including access to or deletion of data you sent us, email info@vetlum.com.
Changes
We will update this page when our practices change and show the date at the top.
